Q: How do I log into my CareerMD account?
A: Go to www.CareerMD.com and click on "Employer Login" - you will be prompted to enter your email address and login password: www.careermd.com/employers/login.aspx
Q: How can I add, edit or remove contacts on my account?
A: Changes to individual contact information must be done on our end. To do so, please send an email to CustomerService@CareerMD.com with the name of anyone that needs to be removed, or the name and contact information (email address, title, phone, fax) of anyone that needs to be added/edited.
Q: How can I edit my company's name, address or website?
A: Changes to company contact information must be done on our end. To do so, please send an email to CustomerService@CareerMD.com with the changes you would like to have made. Your company contact information is tied to each job listing that is posted on CareerMD.com.
Q: I forgot my password - how can I retrieve it?
A: Email your request to CustomerService@CareerMD.com, or click on the "Forgot Password" link on the employer login page - your password will be emailed to you.
Q: I do not have a login password - how can I create one?
A: If you currently receive emails from CareerMD, then you most likely have a login password. If you do not know it, you can click the "Forgot Password" link from the employer login page. If you do not have a password assigned or do not receive emails from CareerMD, please send an email to CustomerService@CareerMD.com and request to have a login password created. Please be sure to include your complete contact information and the name of your organization.
Q: How do I view my order history for the Career Fairs, E-Bulletins or Print Guides?
A: Log into your CareerMD account and click on "My Orders"
Q: How can I obtain receipts?
A: A confirmation/receipt email is sent right after an order is placed online. Employers can also print their order confirmation page, which is the last page when placing an order online. Please be sure to save all email receipts for your records. Requests for duplicate receipts may take up to 5-7 business days to be processed.
Q: What is my company profile, and how can I view or edit this information?
A: Employers can publish a profile at no cost, to give residents and fellows a detailed overview of your institution. You can offer specific information about working at your institution, from benefits and work environment to the area in which you are located. Your company profile is tied to each job listing that is posted on CareerMD.com. You can view or edit your company profile by logging into your CareerMD account and clicking on "Post Profile".
Q: How can I change my password?
A: You can change your password to something more memorable by logging into your CareerMD account and clicking on the "Change Password" link from your "My Account" page.
Q: How do I remove myself from CareerMD email notifications?
A: Please email your request to CustomerService@CareerMD.com
Q: Can search firms post on CareerMD.com?
A: Not at this time. Please note that, as of January 1, 2012, CareerMD products and services will be available only to in-house physician recruiters. Please check back with us in the summer of 2012 when we expect to introduce a new line of services tailored specifically for search firms.
Career Fair Attendance & Promotion
Q: I am only recruiting for certain specialties. How do I know if candidates in those specialties will be at the Career Fair?
A: Although many residents and fellows RSVP for events ahead of time, many others do not. Therefore, it is not possible to predict what types of candidates will attend a specific event. Residents and fellows across all specialties who are training in the area will be invited to attend each event. Attendance is typically a reflection of the number and type of trainees in the area, and typically includes a mix of primary care and specialist trainees.
Q: Are Physician Assistants and other midlevels invited to attend CareerMD Career Fairs?
A: Although PA's and NP's are welcome to attend CareerMD Career Fairs, we no longer actively promote our events to this audience.
Q: How many residents and fellows typically attend a CareerMD Career Fair? Where can I find past attendance numbers?
A: Attendance fluctuates based on location and time of year. Past attendance numbers are often a good indicator of future attendance and are listed here: www.careermd.com/employers/careerfairs.aspx. Cities without past attendance numbers represent new locations.
Q: How do candidates find out about CareerMD Career Fairs?
A: CareerMD Career Fairs are promoted through training programs and directly to residents and fellows.
Q: Are exhibitors permitted to contact candidates prior to CareerMD events?
A: CareerMD does not release information about registered attendees prior to the event.
Q: Will candidates know in advance which exhibitors will be present?
A: Yes - registered exhibitors for each event are posted ahead of time on CareerMD.com
Career Fair Booths & Room Setup
Q: What are exhibitors provided with at the career fair?
A: Exhibitors will be provided with a 6' x 3' skirted table and two chairs.
Q: What types of booth materials may exhibitors bring?
A: You may bring table-top or booth displays that do not infringe on your neighbors' space. Spacing at CareerMD Career Fairs is often tight; you should expect to have no more than 6"-12" inches of space between your table and your neighbors' tables.
Q: What types of giveaway items may exhibitors bring?
A: You may bring handouts and giveaways. Such items typically include informational brochures and flyers, candy, branded pens, stress balls, etc. Exhibitors may bring raffle prizes, but CareerMD is not responsible for announcing or contacting candidates.
Q: Will the display tables be skirted?
A: At most CareerMD Career Fairs, tables are skirted but exhibitors are welcome to bring their own tablecloths.
Q: Can I request a specific table assignment?
A: No. Tables are assigned by CareerMD and cannot be changed.
Q: Will exhibitors have access to electricity or internet?
A: CareerMD cannot guarantee access to electricity or internet inside the event room. Tables are assigned at random and we are not able to arrange for special placement near electrical outlets.
Q: Does CareerMD provide name badges for exhibitors?
A: No.
Q: We have purchased two tables at an upcoming event. Will our tables be next to one another?
A: Yes. Exhibitors who purchase more than one table at one event under the same employer account will have their tables assigned adjacent to one another, even if the orders are placed at separate times.
Q: How early can I arrive to set up my booth?
A: Please arrive no earlier than the designated check-in time (typically 3:30 PM) posted here: www.careermd.com/employers/careerfairs.aspx. Prior to that time, the room will be locked.
Q: Will food or refreshments be served during the career fair?
A: Maybe. Dinner and/or refreshments are provided at many, but not all, Career Fairs. Refreshments are intended primarily for residents and fellows.
Career Fair Hotels & Logistics
Q: Where can I find information on event logistics?
A: All of this information is listed on our Career Fairs webpage, here: www.careermd.com/employers/careerfairs.aspx.
Q: Does CareerMD arrange for discounted group rates at the venue or nearby hotels?
A: In most cases, CareerMD arranges for group rates. Additional information is posted here: www.careermd.com/employers/careerfairs.aspx
Q: Do I have to stay at the venue hotel?
A: No. Exhibitors are welcome to make their own hotel reservations if they'd prefer to stay at a different location.
Q: I called the hotel to reserve my room and cannot get the group rate because the room block is "sold out." Can CareerMD help?
A: No. The number of rooms available at the courtesy/group rate is limited. These rooms are available on a first-come, first-served basis. We are unable to arrange for additional rooms at the courtesy rate once rooms sell out.
Q: I am shipping a display and/or other materials to a career fair. When should I schedule my package(s) to arrive?
A: We recommended that you schedule packages to arrive at career fair venues no more than two days prior to an event.
Q: How do I arrange for return shipment of my booth?
A: Exhibitors must bring their own return shipping supplies with them to the event, including packaging materials, tape and shipping labels. CareerMD is not able to provide extra labels or shipping items. The venue will arrange for return shipment the day after the Career Fair.
Career Fair Attendee Lists & CV's
Q: How will I receive the list of candidate data?
A: This list is available by logging in to your CareerMD.com account after the event. (Please allow up to 10 business days for processing.)
Q: What is included in the candidate data?
A: Candidate data typically includes the names and information (email address, training program, specialty, year of completion) of all candidates that registered for and/or attended each event. The candidate list will likely include some candidates that registered but were not able to attend.
Q: Do all candidates submit CVs?
A: No. Candidates are requested, but not required, to submit their CVs.
Q: Where can I view the candidate lists for past events?
A: You can view candidate data for past events via the link to "Download your attendee lists" from your Manage Account page. Each list is available through your CareerMD account for up to 1 year; however, much of the data is refreshed or removed after 2-3 months, so please be sure to download the original file as soon as it's made available.
E-Bulletins
Q: Who are the E-Bulletins sent to?
A: E-bulletins are sent by email directly to residents, fellows and training programs nationwide. For distribution numbers, click here: www.careermd.com/employers/ebulletins.aspx
Q: What is the cost to advertise in the E-Bulletins?
A: The cost is $215 per vacancy, which covers one distribution.
Q: When are the E-Bulletins distributed or published?
A: The E-Bulletins are published (i.e. sent out via email) every other Tuesday.
Q: How do I place or renew an order?
A: If your job listing is already posted online: log into your CareerMD account and click on "Buy Now" under the E-Bulletin section of the My Account page. If you have not yet posted your job online: If you need to add or edit your listing, please do so before placing your order, via the link to "Post/Edit Jobs" on the My Account page. Once you save changes, a screen will appear asking if you'd like to email your vacancy for $215. Click "Yes" and continue through the payment steps.
Q: Can I edit my ad after placing an order?
A: Yes - you can edit your job listing any time before the submission deadline, even if you've already placed your order. To edit your listing, click on "Post/Edit Jobs" under the Job Database section of your My Account page.
Q: Can I track how many candidates view my listing in the E-Bulletin?
A: No. However, you can see how many candidates have viewed your complete listing online by logging into your account, clicking on "Post Jobs", and then looking at the "Views" column for your job listing.
Q: How can I review my past orders?
A: To view your E-Bulletin order history, log into your CareerMD account and click on the "My Orders" link. Listings that are still running in E-Bulletins will appear under "Upcoming Orders", and listings that have completed their run will appear under "Past Orders".
Q: Can I view my ad in the E-Bulletins?
A: Yes - the most recent E-Bulletin issues are published on our E-Bulletins webpage, here: www.careermd.com/employers/ebulletins.aspx (click the "See sample" link under each specialty).
Q: Is there a word limit for E-Bulletin ads?
A: No. Each E-Bulletin entry includes about 2-4 lines, and then there is a link to view the complete listing online.
Online Job Database
Q: What types of opportunities are posted on the CareerMD.com online job database?
A: Employers can post employment, fellowship and/or residency opportunities for residents, fellows, and practicing physicians. Employment opportunities can include full-time, part-time, locum tenens, in-house, contracted, clinical and/or research opportunities.
Q: Who visits CareerMD's job database?
A: CareerMD's online job database is a resource for residents, fellows and practicing physicians who are looking for employment, fellowship and/or residency opportunities.
Q: What is the cost to post opportunities on CareerMD's online job database?
A: There is no cost to post employment, fellowship or residency opportunities on CareerMD.com.
Q: How long does a listing stay posted online?
A: Listings are posted on CareerMD.com until employers choose to deactivate them. We suggest deactivating a listing as soon as the position is filled. Employers can also refresh their opportunities at any time, which will bring those listings to the top of search results.
Q: How can I add/remove/refresh/edit my job postings?
A: You can add/remove/refresh/edit your postings by logging into your CareerMD account and clicking on "Post/Edit Jobs" under the Job Database section of your My Account page.
Q: How can I view what my listing looks like to the physicians?
A: You can view your listing as it appears to the residents & fellows by going to our physicians website ("Home") and searching by Job ID number: www.careermd.com/default.aspx
Q: Can I see the number of candidates that have viewed my listing?
A: Yes - by logging into your CareerMD account, clicking on "Post/Edit Jobs" and looking under the "Views" tab for each listing. The number of views reflects the number of times that candidates have viewed your complete listing.
Q: How will candidates contact me?
A: Interested candidates can email the designated applicant contact directly through our website, by clicking on the "Email this employer" button that is tied to your listing. Candidates can upload their CV and include other relevant contact information in this email. Candidates may also contact you via your phone/fax numbers or your website, if that information is provided in your applicant contact profile or job description.
Q: How can I protect my contact information?
A: We suggest including as little contact information as possible in the text description of your ad. Candidates can contact you via email directly through our website, so there is no need to type out your email address in the job description of the ad. However, if you would like to provide additional contact information in the job description section, you're welcome to do so.
Q: Are search firms allowed to post on the CareerMD job database?
A: Not at this time. Please note that, as of January 1, 2012, CareerMD products and services will be available only to in-house physician recruiters. Please check back with us in the summer of 2012 when we expect to introduce a new line of services tailored specifically for search firms.
Q: Are search firms allowed to contact in-house recruiters using CareerMD's job database?
A: No - search firms are prohibited from using CareerMD's job database to contact in-house recruiters. We request that employers notify CareerMD if they are contacted by a search firm through our online job database. Emails can be forwarded to CustomerService@CareerMD.com.
Candidate Matching Service
Q: How do I access information about my candidates?
A: You can log in to CareerMD at any time and view your candidates. Just click the "View Your Candidate Matches" link in the CANDIDATE PROFILES section of the page.
Q: What information is included in each candidate profile?
A: All profiles include the candidate's name, email address, current training program, year of transition, citizenship status and geographic preferences. In many cases, a candidate's profile may also include information about medical school and undergraduate education, personal information such as marital status, and possibly additional detail about the candidate's employment preferences.
Q: How are matches generated?
A: Our database generates matches based on specialty and geographic preference. For example, if you have a pediatrics vacancy in Ohio, you will see matches for pediatric residents and physicians looking for jobs in Ohio. Note that you will only receive matches for jobs you have posted on the CareerMD.com website. Keep your postings up to date to receive as many accurate matches as possible.
Q: If I hire a candidate through the Candidate Matching Service, do I have to pay an additional fee?
A: No. The Candidate Matching Service is a monthly subscription service. The cost is $280 per month. There are no additional fees, even if you hire candidates.
Q: How does CareerMD populate its candidate database?
A: Candidates enter into the candidate database through numerous channels. Many are residents and fellows who have attended CareerMD Career Fairs across the country. Others are active users of our website.
Q: How many physicians are in the CareerMD Candidate Database?
A: The number of active candidates in the database varies by day. We are constantly adding new candidates and removing those who have already found employment. The current number of candidates in the database can be found here: http://www.careermd.com/employers/candidateProfile.aspx
Q: Can I preview my candidate matches before deciding whether or not to subscribe to the service?
A: Yes. To preview your current matches, log in to CareerMD and click the "Preview Your Candidate Matches" link. You can see a list of your current matches. To see full information about each candidate, subscribe to the service for $280/month.
Q: I contacted one of my matches, and the candidate did not answer my email.
A: If you contact a candidate and do not receive a reply, we recommend that you follow up at least one time, as residents and fellows have busy schedules and may have missed your first email message. If, however, after two or three attempts, a candidate does not reply, you may conclude that he or she is not interested in your vacancy. CareerMD has no control over whether or not candidates in the database will respond to your emails.
Q: I am ready to start contacting candidates. How do I susbscribe to the service?
A: To subscribe to the candidate matching service, log in to CareerMD and click the "Subscribe Now" link in the CANDIDATE PROFILES section of the page. You may then select the number of months for which you wish to subscribe: 1 month, 3 months, 6 months, or a full year.
Q: At $280/month, the CareerMD candidate database is far less expensive than other comparable databases. How and why is this?
A: Most of the candidate data in the CareerMD database is self-reported by job-seeking residents and fellows. Because CareerMD does not need to maintain a staff to cold call and interview residents and fellows, we can provide candidate data at a relatively low cost.
Career Fair Registration, Policies & Cancellations
Q: Where can I find a complete list of upcoming CareerMD Career Fairs?
A: This information is posted online and updated as new events are scheduled: http://www.careermd.com/employers/careerfairs.aspx.
Q: What is included in the $750 registration fee?
A: The $750 fee includes one exhibitor table, admission for up to two representatives and access to candidate data after the event.
Q: Can exhibitors update their list of specialties before the career fair?
A: Yes - to update your list of specialties, please send an email to CustomerService@CareerMD.com with the updates you would like to make.
Q: Can my organization register and exhibit under different names?
A: Yes - during the event registration process, there is an option to edit the name of your organization for exhibiting purposes. Your organization's exhibitor name will be posted on the CareerMD.com website prior to the event.
Q: Do exhibitors need to provide CareerMD with the names of their representatives?
A: No.
Q: Can exhibitors bring more than 2 representatives?
A: Each $750 registration is strictly limited to two representatives. If you would like to bring additional representatives, you will need to purchase a separate $750 registration (which will also entitle you to a second table).
Q: Where can I see the list of events my organization is registered to attend?
A: You can view your organization's upcoming career fair registrations by logging into your CareerMD account and clicking the "View past and current orders" link in the MY ORDERS section of the page.
Q: What should I do if I need to cancel my career fair registration? Can I receive a refund or credit?
A: If you need to cancel your registration for an event, log in to your CareerMD account and click the "View past and current orders" link. Click the "cancel" link beside the name of the event you wish to cancel. Per our cancellation policy, cancellations made with more than 30 days' notice may receive a 75% refund of the registration fee. Cancellations made within 30 days are not eligible for a refund. CareerMD does not offer credits, and registrations cannot be transferred or swapped from one event to another.
Q: I cannot attend the event but would like to purchase the candidate list. Is this possible?
A: No. CareerMD does not sell attendee lists.
Q: What is the deadline for career fair registration? How do I know if an event is sold out?
A: There are no registration deadlines - events simply close for registration once all tables have been sold. CareerMD Career Fairs tend to sell out, so we suggest registering at your earliest convenience. Information about whether or not an event is sold out can be found on our website, here: http://careermd.com/employers/careerfairs.aspx.
Q: The event that I want to register for is sold out. Is there a waiting list?
A: We do not maintain waiting lists for our events. However, event status is listed on our website, here: http://careermd.com/employers/careerfairs.aspx and this information is updated daily. We recommend that you check the site on a regular basis to see if a table opens up, as cancellations do happen.
Q: Can my organization be invoiced for a career fair rather than paying by credit card?
A: No. To register for a career fair, you must use the online system and pay by credit card.
CareerMD Mixers
Q: What is a mixer?
A: A "mixer" is a networking event that is intended to provide recruiters with an opportunity to meet job-seeking residents and fellows in a more relaxed setting than a traditional career fair. These events are typically held at popular local restaurants. Unlike a career fair, at which each employer has a designated table, a mixer is a "meet and greet" style event; employers do not have designated stations.
Q: What should I bring to a mixer?
A: We recommend that you bring business cards and, if you like, some literature about your organization that would be easy for you to hold in your hands while you speak with residents and fellows.
Q: What is the registration fee for a mixer?
A: Mixers cost $625.
Q: Does CareerMD collect information about attendees at mixers?
A: Yes, just like at career fairs, CareerMD will collect information about each attendee and provide it to participating employers after the event.
Q: Can I bring a booth or table top display to a mixer?
A: No. Please do not bring booths or displays to mixers. You will not have a table or spot at which to display such materials.
Q: What are the event hours?
A: Mixers run from 5PM until 8PM. You may attend for all, or just part, of the event.
Q: How many representatives may we send to a mixer for the $625 fee?
A: You may send up to two representatives from your organization to the event.

A: CareerMD Career Fairs provide an opportunity for job-seeking residents and fellows to explore employment opportunities and meet recruiters from leading healthcare organizations and practice groups. Many of the country's largest and most prestigious physician employers attend CareerMD Career Fairs.
Q: Where can I see a list of upcoming career fairs and dates?
A: You can view a list of career fair cities on our website: www.CareerMD.com.
Q: What is the cost to attend?
A: There is no cost for physicians to attend our career fairs.
Q: Is there parking available? Is parking validated?
A: There should be parking on-site or nearby the hotel/venue. CareerMD does not validate parking costs. For additional details on parking location and cost, we suggest contacting the venue directly.
Q: Are career fairs meant for only residents and fellows, or may practicing physicians attend as well?
A: Residents, fellows and practicing physicians are all welcome to attend.
Q: I'm in my first few years of GME training - should I attend a CareerMD Career Fair?
A: Yes. Even if you still have several years of training ahead of you, the career fairs are a great opportunity to begin exploring employment opportunities. Employers will want to meet you now.
Q: Who will I meet at the career fairs? What kinds of employment opportunities are available?
A: Residents and fellows will have the chance to meet with employers in their region, as well as employers with nationwide opportunities. Employment opportunities are mainly clinical and include full-time, part-time, locum tenens and contracted positions, among others.
Q: How can I find out which employers at the event will be recruiting for my specialty?
A: To see which exhibitors are recruiting in your specialty, please visit our website at www.CareerMD.com and click on the city name of the event you wish to attend. You can then see a list of employers recruiting in each specialty. This list is continually updated as exhibitors register, so we recommend that you check back often.
Searching for Jobs on CareerMD.com
Q: What types of opportunities are posted on CareerMD.com?
A: The CareerMD.com online job database includes physician employment and fellowship opportunities across all specialties. Job opportunities are mostly clinical and include full-time, part-time, locum tenens and contracted positions, among others.
Q: Do I need to log in or register to search for jobs?
A: No. You need not log in to CareerMD.com to search for jobs.
Q: I am interested in a job I see posted on CareerMD. How do I apply?
A: To apply for a position you see listed on CareerMD, you may send an email directly to the employer by completing the "Email This Employer" form that appears beside the job listing. Alternatively, if the employer has provided a phone number, you may call the recruiter directly.
Q: I sent an email to an employer about a job in which I am interested, but I have not heard back. What does this mean? What should I do?
A: If you have contacted an employer through the CareerMD site and have not received a reply, we recommend that you follow up at least one time, either by sending a second email or, if a phone number is provided, by calling the recruiter directly. If you attempt to contact an employer two or three times and do not receive a reply, you may assume that either the position has been filled or that you do not match the recruiter's criteria.
E-Bulletins
Q: How often are CareerMD E-Job Bulletins published?
A: E-Job Bulletins are published every other week, on alternating Tuesdays. CareerMD's E-Bulletins feature up-to-date information on training and employment opportunities nationwide. E-Bulletins are published in every specialty and subspecialty.
Q: How do I sign up to receive E-Bulletins?
A: Simply send an email request to PhysicianServices@CareerMD.com, including your name and email address, current specialty, training program, and expected year of completion.
Q: I have found a job. How do I unsubscribe to the E-Job Bulletin?
A: To unsubscribe, simply reply to any emails you have received with the word "Unsubscribe", or send an email to PhysicianServices@CareerMD.com.
